ERPNext Administrator
We are looking for an experienced and technically capable ERPNext Administrator to take ownership of the day-to-day administration, maintenance, optimization, and continuous improvement of our ERPNext environment.
This is primarily an ERPNext administration and system-management position rather than a full-time development role. The successful candidate should have strong practical knowledge of ERPNext processes and configuration and should be capable of independently resolving routine and small-to-medium technical issues.
The candidate should also be able to write or modify small Python/Frappe scripts and other minor customizations before escalating complex development work to the external ERPNext/Frappe vendor. The candidate must be able to distinguish between a genuine system/code bug and an issue caused by configuration, data, workflow, user understanding, or business process. End-user ERP experience alone will not be sufficient.
Our Current ERPNext Environment
We currently operate ERPNext Version 15 as a core business system. Our primary functional areas include Accounting, HR, Projects, LMS, and CRM. The environment includes standard ERPNext functionality as well as organization-specific configurations, workflows, custom applications, and integrations.
Our environment includes a custom HR and LMS application and an AWS-based custom application used for attachments/documents. The Administrator will therefore need to understand both standard ERPNext functionality and the organization's existing customizations.
An external ERPNext/Frappe development vendor currently supports the system and handles major changes, complex development requirements, and issues requiring deeper code-level intervention.
Key Responsibilities
- Administer and maintain the ERPNext environment across organizations' active modules.
- Understand end-to-end flows and interdependencies across Accounting, HR, Projects, LMS, and CRM.
- Manage users, roles, permissions, workflows, approval processes, and system configurations.
- Implement and maintain Custom Fields, Property Setters, Custom Doctypes, Print Formats, Workspaces, Notifications, Reports, and Dashboards.
- Maintain and troubleshoot existing workflows and make minor workflow changes as required.
- Investigate user-reported issues and determine whether the root cause is a system bug, configuration, data, permission, workflow, integration, or business-process/user issue.
- Resolve routine and small-to-medium ERPNext issues independently and escalate complex issues with clear technical information to the external vendor.
- Perform minor ERPNext/Frappe customizations and automation using Python, Client Scripts, Server Scripts, and related tools.
- Maintain overall ERPNext system health through monitoring logs, scheduled jobs, queues, backups, database integrity, backend housekeeping, and ensuring the environment remains clean, organized, and properly configured.
- Support existing custom applications and integrations without being expected to independently develop major new applications.
- Coordinate with the external ERPNext/Frappe vendor for major changes, complex bugs, upgrades, and development requirements.
- Maintain clear documentation of configurations, workflows, scripts, integrations, recurring issues, and resolutions.
- Support business users and translate operational requirements into practical ERPNext configurations or improvements.
- Support ERPNext upgrades, patch deployments, version testing, regression testing, and production releases in coordination with the external ERPNext vendor.
- Monitor scheduler jobs, background workers, server logs, and system performance to proactively identify issues before they impact users.
- Provide user guidance, onboarding, and basic training on ERPNext functionality and best practices.
- Assess business requirements and recommend whether the solution should be achieved through configuration, workflow, scripting, customization, or vendor-supported development.
